We know plans change. This policy sets out the fees that apply if you need to cancel or change a confirmed booking, and what to expect if we ever have to change or cancel a trip on our end. It works alongside our full Terms & Conditions, which govern your booking overall.
Cancellation fees are calculated as a percentage of your total trip cost, based on how many days before departure we receive your written cancellation notice:

Fees are calculated against the total cost of the trip, not just the balance outstanding. Where a booking includes flights or third-party permits, those costs may already be fully committed and non-refundable regardless of how far out you cancel (see Non-Refundable Items below).
A request to move your travel dates is treated as an amendment, not a cancellation, provided it's requested more than 30 days before your original departure date and the new dates are within 12 months of the original booking. Amendments carry a fixed fee of USD 50 per booking plus any cost difference charged by our suppliers. Date-change requests made within 30 days of departure are treated as a cancellation of the original booking under Cancellations by You above, followed by a new booking at prevailing rates.
We may need to cancel a scheduled group departure if it doesn't reach the minimum group size, or any trip due to safety concerns, a government travel advisory, extreme weather, or other circumstances beyond our control. If we cancel for any of these reasons, you can choose between:
Where a cancellation is due to force majeure, we'll do our best to recover any costs from suppliers on your behalf, but we can't guarantee a supplier's own non-refundable charges (e.g., an already-ticketed domestic flight) will be recoverable.
Approved refunds are processed to the original payment method within 14 business days of us confirming the cancellation in writing. Bank transfer refunds may take longer to clear depending on your bank, and any currency conversion or transfer fees charged by your bank are not covered by us.
Certain costs are committed to suppliers as soon as they're booked and are non-refundable regardless of the notice given, including: domestic and international flights booked on your behalf, visa and entry permit fees, national park and cultural site entry tickets, and bookings tied to a fixed event or peak-season date (e.g., Sri Lankan New Year, Christmas/New Year period). We'll always flag these to you at the time of booking.
Because cancellation fees can be significant, we strongly recommend taking out travel insurance that includes trip cancellation cover from the time you pay your deposit, so that an unexpected illness, injury, or emergency doesn't leave you fully out of pocket.
